What is eCaster?

eCaster is an online casting system enabling you to submit your artists profile in response to breakdowns you receive from casting professionals from any source. In addition your artists roster can be searched by you and viewed by industry professionals when they are looking for someone for their project. All profiles are password protected and contain head shots, a looks and skills database and the artist's resume.

How will eCaster benefit me?

No more thumbing through different appointment books or artists files. eCaster maintains all this information in a format that is efficient and easy to use. Being a web based system means that you can effectively manage your agency from wherever an internet connection is available. Information retrieval is extremely fast, particularly when you need that information the most during negotiations with casting directors, producers, advertising agents and other clients.

How is eCaster different to other on-line casting systems?

eCaster has advanced features that are not available in any other on-line casting system in Australia. These additional unique features include:

  • A job management system which enables the booking agent to track your artists from submissions stage right through to job booking which includes each artist's individual fee that you negotiated. Other systems stop at the pitching stage.
  • The job card system maintains all relevant information about the project including:
    • Details about the casting professional and the client to be invoiced.
    • Description of the project, breakdown information and scripts/sides.
    • Wardrobe, hair, make-up, location and travel details.
    • The artist's involved in the project and their relevant details.
    • Project and artist notes.
  • The system also allows you to maintain each artists daily scheduler to input appointments for auditions, callbacks and jobs as well as meetings.
  • Each artist has a job activity log that reports on every submission, audition, call-back and job booking that your agency put them forward for.
  • The system interactively updates their resume to include jobs that they were booked for therefore ensuring that it is always up to date.
  • Once the job is completed use the accountant system to effectively and easily produce invoices and payments for the artists.

How much will it cost me?

We do not invoice your represented artists, which effectively means that you can have your entire artist roster visible on the agency system for your clients to see. The cost of the agency system depends on which modules that you require. Please contact our sales team who can provide you with a very attractive pricing structure that suits your agency. Packages start from $150 per month which we invoice monthly in advance. We also have a variety of suitable payment arrangements.

What does the artist's portfolio contain?

The artist's portfolio contains:

  • Up to 10 thumbnail photos which can be enlarged for easy viewing.
  • Comprehensive details about their looks and skills.
  • Their resume which can also be printed.
  • Up to 3 minutes of audio and video show reels.
  • Their booking agents contact details.

In addition the artist management system has a scheduler for each artist in which you or your artist can enter appointments for auditions and jobs.

Can I change their portfolio?

Your artist's portfolio can be up-dated on-line by you at any time to ensure that their information is current and accurate. The individual artist can also change their portfolio, however it requires the booking agents to validate the artist's changes before they become active. The agent can override the artist's changes to ensure that they are not falsely represented.

Do I receive Breakdowns?

Breakdowns are received as part of the system from casting professionals. You can conduct quick or advanced searches of your artist's roster and submit them in response to a breakdown role or job that you received. You can also submit your selected artists for breakdowns that you received outside the system eg. by fax, e-mail, phone or on other web casting systems.

How do I join?

Joining eCaster is simple! All you need to do is complete your on-line registration form and submit it to us for validation. Alternatively you can contact our customer service team who can assist you. Once we validate your registration you can log onto the system using you username and password and complete your complete agency profile on-line. Here you can load your artist's profiles including photos and complete their extensive looks and skills database. In addition you can maintain all other agency details including employee, location and contact details as well as the profile of your agency.

What if I have interstate branch offices?

The system adequately caters for interstate branch offices and it maintains their contact information. You can easily search which artists are located at a specific location and who their booking agent is in that location. Alternatively, if you wish to keep each branch separate, the system can be set up accordingly.

How secure is eCaster?

Security was a major factor when developing the eCaster system and we have implemented various measures to ensure that the system is as secure as technology will permit. These measures include a password protection that must comprise of 8 to 16 characters that must include a combination of numbers and alpha both in lower and upper case. All failed logins are monitored by the system to identify unauthorised use. The database will be automatically de-activated following three unsuccessful attempts. eCaster also uses a custom authentication system and all pages with sensitive data will be encrypted. The system is hosted on a dedicated file server in a secure data control centre in Brisbane. Being hosted on a dedicated server ensures that we have full control of the system as no other web-sites are hosted on this system.

The agency administrator can establish permissions to restrict certain employees from accessing sensitive information about the agency as well as locking out other employees from having access to artists that deal with a booking agent exclusively.

The agency can also establish a guest password to permit authorised clients to view your artists' profile only.
